Kyocera study: Digital document management can save two working hours per day

Office work in most companies in Germany and Austria is still paper-based. This is the result of a recent survey commissioned by Kyocera Document Solutions. According to the office employees questioned in the survey, the introduction of digital archiving solutions could save up to two hours of working time per day.

Printouts or paper are still an integral part of everyday working life in most companies in Germany and Austria. Although 44 percent have developed or already implemented a digitisation strategy, 56 percent are still in the very early stages of implementation - in almost one in four companies the paperless office is not even discussed.
This is the result of a web-based survey conducted by Statista on behalf of Kyocera Document Solutions. In July 2020, 1,441 office employees in medium-sized companies (20 to 500 PC workstations) were asked about the status of their document processes. The result:
Employees are more satisfied with digital solutions
Overall, the receipt, transfer and storage of documents and information in the offices in Germany and Austria is mainly paper-based. Almost every fourth respondent (22 percent) stated that they receive documents primarily or even exclusively in paper form.
This is striking: Office employees who mainly pass on documents digitally are significantly more satisfied with the associated workflows such as searching, approval or filing than those who process documents in analogue form. In addition, the degree of digitisation depends on the size of the company: The larger a company is, the more likely documents are already being digitally processed or archived. In smaller companies, however, paper is still common.
Two hours a day for document management
Four out of ten respondents would therefore like to see tools or solutions that make the search for or archiving of documents more time-efficient. According to the study participants, the time that can be saved by such solutions amounts to one to two hours per day (41 percent). Around a quarter of the respondents who would like to have solutions for more time-efficient work could even save more than two hours a day, according to their own statements.
